Device Fleet Renewal 2026: Buy Smart, Recycle Responsibly

Many companies are renewing their computers right now, as the end of Windows 10 support forces a fresh look at the fleet. Renewal is more than ordering new machines, though: a well-planned purchase saves money for years, and handling the old devices correctly protects both the environment and your company’s data.
When is a device worth replacing, and when not?
The rule of thumb is simple: a device is worth replacing when maintaining it costs more than it delivers. A slow machine eats working time every day, and if an employee waits fifteen minutes a day for their computer, that adds up to weeks of lost work in a year.
On the other hand, age alone is not a reason. A three-year-old machine that meets the Windows 11 hardware requirements and works flawlessly will often serve for a long time yet. By contrast, a machine that does not meet the Windows 11 requirements is a natural candidate for replacement, because its operating system no longer receives updates without a paid extension. So it pays to take stock of the whole fleet and replace with consideration, not everything at once.
Should you buy or lease?
Both models have their place. Buying is usually the cheapest in total cost if the devices are used for a long time and the company can afford the one-time investment. Leasing, meaning renting the devices, spreads the cost into a monthly fee, keeps the fleet consistently fresh and often includes lifecycle services such as device swaps and returns.
For a small or medium-sized company, the biggest benefit of leasing is predictability: the budget does not lurch when ten machines need replacing in the same year. Still, compare the actual total price of the contract and check what the return terms say about device condition and data erasure.
What should you require when buying?
The single most important requirement in 2026 is that the machine supports Windows 11 fully, including the TPM 2.0 security chip, which the operating system uses for disk encryption and protecting sign-in. In practice, all new business machines meet this, but when buying used devices or clearance stock it is worth verifying.
Other things that save money and trouble later:
- A business line instead of a consumer line: longer availability, better warranty terms and serviceability.
- Enough memory and an SSD drive from the start, because expanding later is impossible in many laptops.
- A warranty that covers the whole planned service life, preferably with on-site service.
- A uniform model range, so spare machines, chargers and docks are interchangeable and support is easier.
It is also worth agreeing in advance who sets the machines up for use. A preinstalled machine, with applications, email and protections ready, saves every employee half a working day and ensures that each machine is protected the same way from the very first startup. In a batch of ten machines, the difference compared to manual setup is already significant.
How are old devices recycled correctly?
Computers, monitors and phones are waste electrical and electronic equipment, or WEEE, which by law must be collected separately. It must not go into mixed waste. In Finland, recycling is based on producer responsibility: device manufacturers and importers fund the recycling through producer organisations, so delivering a device to an official WEEE collection point costs nothing extra.
For a company, the easiest route is often its own IT partner or leasing company, which picks up the devices, logs them and delivers them for proper processing. A working device is also valuable: a machine in good condition can live on in the used device market, which is a better option for both the environment and the wallet than shredding.
Keep records of recycling. A simple list of which devices have been retired, when and where they were delivered keeps the device register up to date and helps if someone later asks what became of a device.
How is data destroyed securely?
This is the step most often forgotten in renewal projects. The disk of a departing machine holds emails, customer data and passwords, and merely deleting files or restoring factory settings is not always enough. From a data protection standpoint, the essential thing is that personal data is destroyed so it cannot be recovered.
In practice, secure destruction means overwriting the disk with a reliable tool or physically destroying it, and you should require a written certificate of the work for each device. The certificate is the document with which you can show, if ever needed, that the data on retired devices was handled properly. If the devices go on to further use, the wipe must be done before they leave the building.
