# A successful hybrid event: the technical checklist that keeps your stream alive

A hybrid event is one where part of the audience is on site and part follows the broadcast online. At its best it multiplies the reach of your event, but the remote audience is unforgiving: when the picture freezes or the sound drops out, the viewer leaves. The good news is that almost all technical failures come down to the same predictable causes.

## What most often goes wrong at a hybrid event?

Experience has shown that problems cluster around a few points: the network connection is insufficient or drops, the audio is poor or missing entirely, the presenter’s materials don’t appear in the broadcast, or questions from remote participants never reach the room. What these have in common is that every one of them can be prevented in advance.

The single most important insight is this: a hybrid event is two events sharing the same stage. For the audience in the room, it is enough that the presenter can be heard and the slides can be seen. The remote audience needs its own audio mix, its own visual storytelling and its own way to participate. When you treat the broadcast as its own production rather than a by-product of the room, the quality changes decisively.

## How do you make sure the network connection is sufficient?

The network is the lifeline of the broadcast and the most common cause of failure. Checklist:

- Always use a wired network connection, meaning an Ethernet cable, for the broadcast machine. Wireless is a fallback, not the primary solution, because its quality fluctuates as the room fills with people and phones.

- Test the connection’s upload speed in advance, from the same spot and at the same time of day as the event itself. Upload speed — the speed out of the building — is what matters, not download speed.

- Reserve a dedicated connection for the broadcast, or at the very least make sure the event’s guest network doesn’t share the same bandwidth with the stream.

- Arrange a backup connection using a different technology, in practice a mobile network router, and test the switchover to the backup connection in advance as well.

## What kind of technology is needed on stage and for the broadcast?

Audio first: viewers will tolerate mediocre video, but not bad audio. Every speaker needs their own microphone, and for audience questions you need a roving microphone in the room, or a host who repeats the questions. The broadcast audio is taken from the mixing desk as a separate mix, not from the camera microphone, and someone’s job is to listen specifically to the broadcast audio for the entire event.

For video, one well-placed camera is enough for a small event, but two cameras — one showing a wide shot and the other a close-up of the speaker — make the broadcast considerably easier to follow. Presentation slides are brought into the broadcast directly from the computer as a separate source, not by filming the projection screen, so the text stays readable.

In addition, you need a broadcast machine or device that combines video and audio and sends them to the viewing platform, plus a backup machine or device connected and ready. Plan the power supply in advance: tape down the cables and make sure no one trips over them or unplugs a critical cord.

## How do you keep the remote audience engaged?

A remote viewer is not an observer but a participant, and participation needs to be planned in advance. Name a person whose only job is the remote audience: they follow the discussion, pick out questions and pass them to the host. Without a named person responsible, the remote audience’s questions are always forgotten.

At the start of the broadcast, explain how remote participants can take part and when questions will be answered. Plan the breaks: for a remote viewer, an empty room during a coffee break is a strange experience, so during breaks the broadcast shows a schedule slide or interval content. Also remember to tell remote participants about the recording, if one will be shared.

The recording is worth planning as part of the whole in advance anyway. A well-executed broadcast produces, as a by-product, material you can use for a long time: in addition to a recording of the full event, individual talks can be cut into short highlights for marketing and internal communications. When the recording and usage permissions from the presenters have been agreed beforehand, the material is ready to use right after the event.

## What do you test in the dress rehearsal?

A dress rehearsal at the venue — preferably the day before, or at the latest hours before the start — is the most important item on this entire list. Test with the real equipment and from the real spot: the network connection and the switchover to the backup connection, every microphone, changing slides from the presenter’s computer, the camera angles and the entire broadcast chain all the way to the viewing platform. Watch the test broadcast on a real device over the network, not just on the broadcast machine’s screen, and listen to the audio quality with headphones.

Finally, agree on roles for when something goes wrong: who decides to switch to the backup connection, and who communicates with the remote audience if the broadcast drops for a moment. Write the most important phone numbers and instructions on paper next to the broadcast station, because in the middle of a disruption no one has time to dig them out of message threads. When these have been agreed in advance, a small disruption stays small.
